AGAI Gov Trail
OPERATIONS

What should exist after an AI system goes live?

A practical evidence trail for inventory, human decisions, supporting proof and re-review after deployment.

The operating record starts after deployment

A project can be well implemented and still become difficult to explain six weeks later. The model, agent or workflow may be live, but ownership, review decisions and supporting evidence often remain split across tickets, documents and inboxes.

A useful operating trail does not try to preserve every project artifact. It preserves the small set of facts needed to understand what is live, who owns it, what was reviewed and what evidence supported the decision.

Five records worth keeping together

  • System identity and actual use case: what the AI does, where it is used and who owns it.
  • Recorded role and operating context: who provides, deploys or operates the system for the client.
  • Human-review record: the question considered, the human decision, the date and the responsible person.
  • Supporting evidence: the disclosure, control, test result, approval note or other artifact relied on by the team.
  • Currentness signal: when the record should be reviewed again and what kind of change should trigger an earlier re-check.

The client handoff is part of the workflow

The final output should not be a raw internal folder. A client-facing proof package should summarize the live system, the recorded human decisions and the evidence index without exposing unrelated tenants or internal working material.

That makes the operating record useful twice: first for the team maintaining the system, and later when a client asks for a concise explanation of what is live and how it has been reviewed.

Scope note. This is operational workflow guidance, not legal advice or an automatic compliance conclusion.
TRY THE WORKFLOW

One private workspace. Seven days. No card.

If this operating problem is real for your team, a short controlled trial is more useful than another abstract checklist.
